This Privacy Policy describes how Rarewxlf Performance ("we," "us," or "our") collects, uses, and protects your information when you use the WolfTrack Performance mobile application ("WolfTrack" or the "App"). By using WolfTrack, you agree to the practices described in this policy.

1. Who We Are

WolfTrack is an educational coaching and athlete accountability platform operated by Rarewxlf Performance. We are not a medical provider, registered dietitian service, or clinical platform. All recommendations provided by WolfTrack are educational estimates intended as a starting point, not medical prescriptions or clinical nutrition plans.

2. Age Requirement (COPPA)

WolfTrack is intended for users who are 13 years of age or older. We do not knowingly collect personal information from children under 13. Our registration flow includes an age gate that blocks account creation for users who indicate they are under 13 and directs them to have a parent or guardian sign them up.

If you believe we have inadvertently collected information from a child under 13, please contact us immediately at gowolftrack@gmail.com and we will delete that information promptly.

Users between 13 and 17 should ensure a parent or guardian is aware they are using this app, as noted in our onboarding consent step.

3. Information We Collect

We collect information you provide directly when creating an account or using the App:

Account information: Full name, email address, password, and role (athlete, coach, or strength coach)
Athlete profile data: Age, sex, weight, height, weight unit preference, experience level, sport, position, training goals, equipment availability
Training data: Training days per week, session duration, workout completions, plan assignments, focus drill completions
Health & wellness logs: Nutrition logs (calories, protein, water intake), sleep logs (hours slept, sleep quality)
Performance data: Physical test results (40-yard dash, vertical jump, bench press, etc.), computed trait scores, overall rating (OVR), archetype classification
Dietary preferences: Optional dietary restrictions (e.g. Vegetarian, Gluten-Free, Dairy-Free, Halal) used solely to personalize meal plan suggestions
Team schedule data: Game dates, practice times, locations, and event types entered by coaches and visible to their athletes
Workout plan metadata: Plan titles, start and end dates, locations, and batch assignment identifiers used to group team-wide plans
Feedback submissions: Optional written feedback, star ratings, category tags, and screenshot images submitted through the in-app feedback form
Coach-entered data: Notes, IQ ratings, verification status, team feedback, availability status, depth chart positions
Recognition data: Warrior Wall nominations — coach-created weekly recognition records that are visible to all coaches on the team
Playbook data: Play files (images, videos, PDFs), titles, categories, tags, and athlete notes uploaded by coaches
Media: Workout proof photos and videos you choose to upload
Messages: In-app messages between coaches and athletes
Device data: Push notification tokens for delivering alerts

4. How We Use Your Information

We use the information we collect to:

Provide, operate, and maintain the WolfTrack platform
Generate personalized educational wellness estimates (calorie targets, protein ranges, hydration goals) based on your profile
Enable coaches to monitor athlete progress, assign workout plans, verify test results, and provide feedback
Calculate accountability scores, weekly performance rankings, and athlete overall ratings (OVR) and archetypes
Power the Warrior Wall recognition system — linking coach-created nominations to athlete profiles for team-wide display
Deliver weekly focus drills personalized to each athlete's development focus and position
Send push notifications about check-in reminders, plan updates, and coach messages
Identify at-risk patterns (e.g. very low calorie estimates, young athletes) and surface educational warnings
Improve the App and diagnose technical issues

We do not sell your personal information to third parties.

5. How We Share Your Information

We share your information only in the following limited circumstances:

With your coach: If you are an athlete, your assigned coach and any assistant coaches or strength coaches on your team can view your profile data, check-in logs, workout completions, performance metrics, playbook notes, and messages you send them.
With athletes (coach view): If you are a coach, your team name and coach code are visible to athletes who join your team. Warrior Wall nominations you create are visible to all coaches on the team.
Coach role access: Head coaches have full access to all team features. Strength coaches have access to workout management, test verification, team readiness, and the Warrior Wall. Assistant coaches can view athletes and review submissions.
Service providers: We use Supabase (database and authentication infrastructure) to store and process your data. Supabase is bound by their own privacy and security policies.
Legal requirements: We may disclose information if required by law or to protect the rights and safety of our users.

6. Payment Processing

WolfTrack offers optional paid subscriptions for coaches (Team and Program plans) and athletes (Premium plan). All payment processing is handled by Stripe, Inc., a PCI-compliant payment platform.

We do not store your payment card details. Card numbers, CVV codes, and full billing addresses are collected and stored exclusively by Stripe.
WolfTrack receives only a confirmation of subscription status, your Stripe customer ID, and your subscription tier from Stripe.
Stripe may collect additional data necessary to process your payment in accordance with their own Privacy Policy.
Subscription billing is recurring. You can cancel at any time by contacting us at gowolftrack@gmail.com. Access continues through the end of your current billing period.

7. Data Storage and Security

Your data is stored securely on Supabase-managed infrastructure with row-level security (RLS) policies that ensure each user can only access data they are authorized to see. All data is transmitted over HTTPS/TLS encryption.

While we take reasonable measures to protect your data, no system is 100% secure. We encourage you to use a strong, unique password for your WolfTrack account.

8. Data Retention

We retain your data for as long as your account is active or as needed to provide services. You may request deletion of your account and associated data at any time by contacting us at gowolftrack@gmail.com. We will process deletion requests within 30 days.

9. Push Notifications

WolfTrack may send push notifications for check-in reminders, plan updates, and coach messages. On Android, push notifications are delivered via Firebase Cloud Messaging (FCM), a service operated by Google. You can disable notifications at any time through your device's Settings app.

10. Photos and Media

WolfTrack requests access to your camera and photo library only for workout proof uploads. Media you upload is stored securely and is accessible only to you and your assigned coach. We do not use your photos for any other purpose.

11. Educational Disclaimer

WolfTrack provides educational wellness recommendations based on your profile data and training goals. These recommendations are starting-point estimates — not medical prescriptions, clinical nutrition plans, or substitutes for professional healthcare advice. Always consult a qualified healthcare professional or registered dietitian before making significant changes to your nutrition or training regimen.

12. Your Rights

You have the right to:

Access the personal data we hold about you
Correct inaccurate data in your profile
Request deletion of your account and data
Withdraw consent for optional data collection

13. FERPA Notice

If WolfTrack is used by school programs that receive federal funding, student records may be subject to the Family Educational Rights and Privacy Act (FERPA). Schools and institutions using WolfTrack are responsible for ensuring compliance with applicable FERPA obligations. Contact us if you have questions about institutional use.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by updating the "Last updated" date at the top of this page. Continued use of the App after changes are posted constitutes acceptance of the updated policy.
